- Scope of This Policy
This policy applies to all individuals who interact with our services, including app users, website visitors, and customer representatives.
For Respondr Pro clients, if you are using our services through an employer or organization, please note that your data may also be subject to the organization’s own privacy practices. In such cases, we process your data on their behalf and recommend referring to their internal privacy documentation.
- What Information We Collect
We collect different types of information depending on how you interact with our services.
Information You Provide
When you create an account, we collect your name, email address, password, and optional data such as your phone number or organization name (especially for Respondr Pro). If you contact support or our sales team, we’ll collect your contact details and any other information you provide in your request, including files or screenshots.
You may also provide optional access to your device’s microphone, camera, photos, or contacts—this allows you to send audio messages, attach images, or invite other users. Location sharing is only active if you explicitly allow it and is used for features such as sharing your position with team members or within a channel.
Information Collected Automatically
When you use our apps or websites, we collect technical data such as your IP address, browser type, device information (model, operating system), session timestamps, error logs, and how you interact with the features.
If you consent to it, we may also collect data through cookies and similar technologies to understand how visitors use our websites and apps and to offer a better user experience.
We do not record or permanently store the content of your private voice communications. Temporarily undelivered messages are retained only for a short period before being automatically deleted. However, if you are using Respondr Pro, your organization may choose to record or retain audio messages, location data, photos, and other usage metrics. For more information, please contact your organization’s Data Protection Officer.

- Creating and managing your account
- Connecting you to the nearest server for performance optimization
- Enabling communication features such as voice messages and team collaboration
- Offering support and resolving issues
- Customizing your experience and improving usability

For Respondr Pro clients, administrators may access some user-related data for operational or compliance purposes (such as team activity logs or device status).
We will only use your location, contact list, or media files if you have explicitly granted permission through your device settings.

- How We Share Information
We may share your personal data with trusted third-party service providers that help us operate our services. These include cloud storage providers, analytics tools, support platforms, and payment processors.

In specific cases, your data may also be shared:
- With other users when you join a shared channel or workspace
- With advertising partners (only for Respondr, not Respondr Pro) if you have agreed to receive targeted ads
- With legal authorities, if required by law or to protect our rights
- During a business restructuring or acquisition, in compliance with applicable law
- Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, comply with legal obligations, or resolve potential disputes.
Your account data is stored while your account remains active and for a limited period after deactivation. Voice messages are never stored permanently—if a message cannot be delivered immediately, it is temporarily retained for up to 30 days before automatic deletion.
For users of Respondr Pro, any location history or related data is managed in accordance with your organization’s internal privacy policy. If no specific policy is defined, we apply a maximum retention period of 6 months. Please note that while we do not record or archive private voice communications, organizations using Respondr Pro may choose to record or store voice messages, location data, media files, and other usage metrics. For detailed information, contact your organization’s Data Protection Officer.
